POSITION SUMMARY:
The Academic Program Specialist position performs specialized administrative work in support of the Department of Medical Engineering within the College of Engineering. This position supports a broad range of individuals within the department, including faculty, staff, administration, and students. The role involves assisting with the preparation and facilitation of graduate admissions, student tuition waivers, processing course permits, maintaining student files and advising records, conducting graduation checks, and fulfilling other student-related administrative requirements. Additionally, the position will support the department chair and the department's general activities, while interfacing with undergraduate and graduate programs, including some evening commitments. This is a student-facing position that requires in-office presence Monday through Friday, from 8:00 AM to 5:00 PM.
RESPONSIBILITIES:
Supports student administration through processing course permits, tuition waiver, maintaining student files and records, help with graduation checklists, and fulfillment of other student-related administrative requirements. Enters information into BANNER/Service-Service student database system.
Reporting - Inquiries, queries, and standard reports from university systems such as FAST, Self-Service, Javascript, and GEMS. This also includes assisting with accreditation surveys, data aggregation and analysis, and document/report preparation. Assist with the collection of data to complete various reports pertaining to enrollment, registration, and recruitment of students. Organizes information such as student records, transcripts, reports and spreadsheets. Responsible for the annual growth report and annual newsletter.
Communicates with students regarding academic program, prerequisites, course registration, and general inquiry. Notifies students with substandard academic grades and issues. Schedules appointments and prepares student files for advising.
Supports faculty searches by related handling paperwork, downloading applications, organizing CVs, updating search spreadsheets, scheduling search committee meetings, recording meeting minutes, and posting meetings per Florida Sunshine Law. Works with department ASA to schedule campus visits for candidates and organize meetings and seminars with candidates.
Supports department purchasing needs of faculty and front office through procurement card purchasing.
Coordinates orientation for new students and other information sessions.
Performs other administrative duties as assigned in support of the academic mission of the department.
Work with other departments in the college, Registrar's Office, and Graduate school with policy and procedures. Support and be the liaison with other offices for services, programs, tasks, activities, and transactions that are critical to the establishment, appointment and progress of graduate and undergraduate students.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
