Business Coordinator - Executive Support (Administrative)
Position Summary:
Under direct supervision, supports the design, implementation and execution of the business and operational strategies of the department by interacting with Division, Bank and/or System stakeholders. Interacts with and provides support for key Division, Bank and/or System projects. Develops working relationships within the team, department, division and other business partners throughout the Bank. Develops knowledge of multiple disciplines and participates on projects related to business operations, quality management, and operational controls. Assists in delivering products and services that create efficiencies and improve business processes.
Key Responsibilities:
• Coordinates projects related to business and operations, quality management and operational controls while obtaining knowledge of multiple disciplines; delivers products and services to create efficiencies and improve business processes; contributes to and participates in process improvement and solution discussions.
• Maintains and creates reports, documents and other correspondence to stakeholders. Creates, maintains, collects and distributes key materials such as tracking spreadsheets, metrics and/or documentation.
• Maintains and administers software, documents, sites, and applications used to support business continuity
activities.
• Maintains a central repository of business continuity information, including risk assessments, business area recovery plans, crisis managements plans and guides, emergency response procedures, test results, after-action reports, and contact information.
• Develops processes and procedures to ensure information is accurate and accessible. Provides support for technical tests, crisis management exercises, training, and awareness programs.
• Assists each critical functional area of the organization with development and maintenance of a business resumption plan.
• Works on problems or projects of limited scope and basic complexity; exercises sound judgment within defined procedures and practices; follows standard procedures in analyzing situations or data from which answers can be readily obtained; receives detailed instructions on routine work and on new projects or assignment.
• Identifies best practices and suggests how to improve current business practices; assists in efforts to improve operations efficiency, and department services; working with others, prepares reports and materials to support proposed recommendations
• Draws on experience and seeks guidance from others when working to resolve issues or support projects of basic complexity (scope/volume/impact) associated with business line processes.
• Arranges and coordinates logistical details around meetings and conferences for the department; oversees planning functions inclusive of catering, facilities, and technology and communication.; may train, facilitate or troubleshoot event functions
• Collaborates on process improvement projects; modifies and updates existing business processes; may participate in cross-department initiatives and projects
• Coordinates/performs various department research and administrative duties. Manages multiple and simultaneous projects with a strong sense of priorities, and ensures all deadlines and objectives are achieved.
• Keeps current on System, District and industry business continuity activities and trends.
• Plays a role in responding to ad-hoc research requests and managing incidents.
Education: Bachelor's degree or four years equivalent experience, preferred
Experience: Less than two years
