ORGANIZATIONAL SUMMARY:
The Research and Prospect Management team is a strategic function in the Division of University Advancement and the USF Foundation Inc.
POSITION SUMMARY:
The Prospect Management Strategist will support and promote the Prospect Management policy and procedures, direct strategy meetings, provide and distribute routine reporting on cultivation activities and development of solicitation strategies. To assist fundraisers in achieving an effective and healthy balance in their portfolios, a Prospect Management Strategist must be available on an as-requested basis (within business hours) to any development officer and conduct scheduled quarterly portfolio review/strategy meetings. This individual will also have monthly review processes to ensure timely and efficient entry and reporting of development officer fundraising activities.
RESPONSIBILITIES:
Prospect Management Outreach
Builds and maintains partnerships with development officers and staff to effectively manage prospect assignments by providing insights for prospect strategy through ongoing portfolio and pipeline analyses and consultations.
Works with impacted staff to assess Prospect Management policies and procedures, serving as the Prospect Management liaison to annual gift officers, leadership officers, and development coordinators as needed.
Provides analysis and interpretation of prospect and donor information and facilitates communication regarding prospects to the appropriate fundraising stakeholders.
Assists in the training of new/current development officers and supporting staff on CRM and Prospect Management policies, procedures, and systems.
Prospect Information Management
Reviews assigns prospects to development officers, reviews prospect appointments and activities (appointments and virtual meetings) for appropriate inclusion in the database and various reports.
Promotes effective prospect tracking and management across the entire development community by modeling portfolio management and other best practices for the development community; and manages and oversees projects (on-going and ad hoc) that specifically model these practices.
Reviews and analyzes system generated reports and provides recommendations for improvement.
Prospect Analysis
Monitors and guides development officers? progress throughout the prospect fundraising cycle: qualification, cultivation, solicitation, and stewardship.
Works with appropriate staff to assess Prospect Management policies and procedures, reinforcing and promoting an active awareness of goals, and objectives.
Provides recommendations related to the assignment of prospects as well as post assignment analysis.
Responds to a broad spectrum of high priority requests while promoting and adhering to the Prospect Management policies and procedures at all times.
Prospect Management Program Advocacy
Cultivates and applies personal knowledge of University priorities and programs, prospect management and fundraising techniques, and of individuals and organizations whose involvement with the University would be beneficial.
Reinforces and communicates prospect guidelines, policies, and procedures to new stakeholders and other throughout campus.
Reviews and poses recommendations and/or revisions to Prospect management's policies and procedures, reports, and meeting agendas.
Adheres to ethical and confidentiality guidelines of both the University and the Association of Professional Researchers for Advancement (APRA).
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree with two years of experience directly related to the duties and responsibilities specified. Work experience may be substituted for the degree requirement on a year for year basis.
PREFERRED:
Experience working in a higher education Research and Prospect Management, Development, or Advancement Services setting.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
SPECIAL SKILLS/TRAINING:
Ability to implement complex processes. Ability to use existing technology to achieve desired results.
Ability to handle multiple responsibilities, prioritizing duties, and meet deadlines.
