Role reports to: VP, Digital Transformation Office
Location: Summit, NJ
Pay: $48k-68k
What you will do
The Administrative Assistant to Digital Transformation Office VP is responsible for providing administrative support in areas of typing, expense reports, confidential correspondence, file management, travel arrangement, and office supply ordering. You will also be responsible for maintaining the office environment, handling confidential matters requiring discretion and judgment, and greeting vendors and visitors:
Key Responsibilities
- Assist the Digital Transformation Office VP in managing their daily schedule and tasks
- Coordinate and schedule meetings, conference calls, and travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Assist in the preparation of reports and presentations for senior management
- Conduct research and compile data to support projects and initiatives
- Maintain confidentiality and handle sensitive information with discretion
- Provide administrative support to the Digital Transformation Office team as needed
- Assist the Digital Transformation Office VP in implementing new strategies and initiatives
- Manage and prioritize the VP's calendar and schedule, ensuring all appointments and meetings are organized and efficient
- Prepare and edit reports and presentations for the VP
- Coordinate travel arrangements and prepare expense reports for the VP
- Maintain confidential records and handle sensitive information with discretion and judgment
- Act as a liaison between the VP and other departments, vendors, and visitors
- Take initiative to follow up on relevant issues and inform the VP of status
- Ensure the office environment is maintained and organized
What we are looking for
Required Qualifications
- High School/Secondary Education or Equivalent
- 4-6 years of experience in a related field
- Excellent communication and organizational skills
- Proficiency in Microsoft Office Suite
- Ability to handle confidential information with discretion and judgment
- Strong attention to detail and ability to prioritize tasks
Desired Qualifications
- Experience in coordinating travel arrangements and preparing expense reports
- Ability to work independently and take initiative
- Advanced written and verbal communication skills
- Specialized software knowledge
