ORGANIZATIONAL SUMMARY:
This position is part of a business office which reports directly to the College. The CoTA Business Office serves students, faculty and staff in carrying out the fiscal, operational and personnel related transactions needed to facilitate learning and student success at the College of The Arts.
POSITION SUMMARY:
This position monitors fiscal concerns with the payroll, notifies leadership, resolves issues, and finds alternative solutions to more efficiently utilize CoTA's fiscal resources. The analyst tracks budgets, compiles the College's quarterly report and develops other reports to identify inefficiencies and operational concerns.
RESPONSIBILITIES:
Initiate, prepare and process cash transfers and billings. Generate and send out notices for additional money/fees due, auxiliary account balances or deficits, etc. Processes Refunds requiring a physical check. Maintains database of events billed. Maintains shadow systems for Accounts Receivable Database for Non USF clients/vendors invoicing that do not fit within the USF Fast A/R module. Monthly Net A/R.
Initiates requisitions for purchases, initiates purchase orders (PO's), Honorariums, Purchase Request forms for approval, and verifies invoices received, and reconciles these expenditures. Ensures that all invoices are paid in a timely manner and responds to inquiries regarding the status of requisitions, PO's or goods/services received. Approves invoices for payment, and reconciles purchasing transactions (P-card, invoices, etc) to the ledger. Resolves vendor billing problems. Reconciliation of all non-payroll expenditures (USF, USF Foundation) and all revenues (USF) Provide monthly reporting to College Management
Monitor payroll expenses and may advise on appropriate chartfields/account for payroll expenditures. Use internal logs to verify appointments needing pay distributions in GEMS.
Balance budgets by performing a detailed review and analysis of the actual vs. budget for numerous accounts such as Talent Grant, InED, INTO and Salary expenses for Graduate Assistants and Adjuncts on Large SCH. Advise management/faculty/PIs of potential areas of over/under allocation, and when any budget transfer needs to take place. Oversee allocation of FWS to departments.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree in Accounting, Finance, or Business Administration or other field directly related to the position's specific responsibilities and two years of related fiscal work experience; or a Bachelor's degree in no specific required field and three years of fiscal related work experience; or six years fiscal related work experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
PREFERRED:
Experience with Data Analysis, Visualization & Reporting and that has a Business Administration background.
Experience in using PowerBI/working in PowerBI.
