Job Hours: Mon - Fri 830AM to 5PM, occasional Saturday shifts, some holidays

The Office Manager will provide administrative leadership and support for the Business Operations to the Substance Use Disorder (SUD) programs operating in Covington, GA. at our Kirkland campus. This person will be the primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance. Responds to questions, requests, or needs based on specific knowledge of the program and its operations.
This position will also work closely with the Director to provide support with financial processes including some Accounts Payable (AP), Accounts Receivable (AR), and managing purchase cards for the SUD programs. This position will maintain databases, spreadsheets, logs, and other records of routine information. Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.
Duties & Responsibilities:
Provides a variety of routine clerical functions within a behavioral health office setting, to include: answering multi-line phone system, schedule appointments, data entry, scans/downloads info into ECR, and handling client's questions and concerns.
Manages lobby entrance including members, visitors, and staff.
Completes Point of Entry (POE) intake flow to include consents for services, release of information, financial application, etc.
Schedule intakes, doctor, nurse appointments; manage appointment reminders.
Communicate assignments, messages, and other information to program staff.
Maintains monthly DBHDD Programmatic Reports.
Coordinates and manages purchase orders, inventorying, and distributions of supplies across programs.
Manages facility supply inventories with attention to minimizing oversupply and managing expenses.
Manage credit card receipts and assist with reconciliation of PCard purchases.
Manage Time Clock program serve as Leave Keeper and report hourly payroll to Business Office; Consults with supervisor to resolve issues. Provide technical assistance as needed.
Inform Director and Program Manager of any abnormalities or trends revealed by the program data.
Communicates and works collaboratively with team members, attend team meetings (as necessary), and meets with supervisors to discuss performance.
Assist with access support for intakes and admissions as needed.
Provides direct care support as needed to clients during intake, admissions, and discharge process.
Observes and monitors client behavior on the unit as needed.
Oversee the Program Assistant at PACE Detox, ensuring all administrative tasks, schedules, and workflows are maintained effectively.
Provides guidance, oversight, and coaching on their responsibilities, including but not limited to client intake processes, filing, and appointment managemen
Completes performance evals, provides coaching and feedback to direct reports to promote professional development.
Performs other related duties as assigned.
Minimum Qualifications:
High school diploma or GED AND Two years of experience required at the lower-level Admin Support 3 (GSS082) or position equivalent. Must show ability to lead or supervise a team and experience.
Preferred Qualifications:
Minimum one (1) year experience working in a medical/mental health setting.
Strong organizational and time management skills, with the ability to prioritize tasks and manage completing demands effectively.
Excellent communication and interpersonal skills, with the ability to establish rapport with clients and colleagues.
Ability to work effectively with individuals struggling with substance use disorders with empathy and non-judgmental care.
Requirements/Competencies:
Must be able to lift 20 pounds.
Requires long periods of sitting/standing.
Must be able to respond quickly to sounds.
While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.
Candidates for selection must pass a criminal background check (including fingerprinting)
Must pass a pre-employment drug screen and subject to random drug screens.
Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities
