Executive Assistant to CEO (Finance)
Provides a high level of support to the President/CEO. Ensures integrity of the governance framework, efficient administration, compliance with statutory and regulatory requirements, communication, and assists in implementing decisions made by the President/CEO. Performs a wide range of complex responsibilities involving confidential information, such as compiling reports, scheduling meetings and preparing agendas. Utilizes analytical skills and a broad understanding of the organization to effectively interpret needs, providing a bridge for smooth communication within the Executive Office and internal departments. Works independently, exercising considerable judgment and discretion in completing assignments. May represent the President/CEO at designated functions and on projects. Provides administrative backup support related to Board of Directors meetings, communications, and material preparation.
Essential Duties(Other duties within the scope of this position may be assigned.)
1.Provides a high level of support for the President/CEO.
2.Operates with the highest degree of confidentiality. Ensures integrity of the corporate governance framework.
3.Provides oversight and manages CEO's schedule.
4.Independently creates, edits, and prepares reports and presentations, demonstrating meticulous attention to detail.
5.Drafts communications for the CEO.
6.Prepares and disseminates information to Executive Staff members and Board of Directors, and Committee members as needed.
7.Organizes and manages presentation materials, set-up and connectivity using video conferencing solutions (Teams, Zoom, etc.) for virtual, in-person and hybrid meetings.
8.Monitors and prioritizes all communications on behalf of the CEO.
9.Completes special projects as assigned by the CEO.
10.Manages multiple priorities with attention to time sensitivity and accuracy.
11.Responsible for managing requests for action by the CEO. Maintain, prioritize, and complete action items.
12.Demonstrates professionalism and a sense of urgency when dealing with senior-level executives.
13.Ensures records are maintained in accordance with Goodwill's policies and practices, as well as compliance with regulatory/legal requirements.
14.Assists from conception to completion, in the planning and execution of successful logistics for internal and external meetings, trainings, conferences and events.
15.Provides support for efforts related to cultivating relationships with jurisdictions, community leaders, employers, and other organizations to build awareness of Goodwill's mission.
16.Assists and collaborates with other members of the executive administrative team as needed. Investigates and resolves matters of significance on behalf of management.
17.Manages multiple priorities with attention to time sensitivity and accuracy.
18.Demonstrates professionalism and a sense of urgency when dealing with senior-level executives.
Supervisory Responsibilities
• The associate in this position may be responsible for supervising interns and/or contract security personnel.
Education/Experience/Certificates/Security Clearance
• High School Diploma or GED required. Associate degree in business or a related field preferred.
• 5 Years' experience in a related field required.
• Must have or be able to secure Notary certification and act to notarize Goodwill documents.
• Valid state driver's license, insurance and satisfactory driving record are required.
• Associates in this position will be required to successfully pass both state and federal criminal background checks and sex offender check.
• Advanced proficiency with MS Office to include Word, Excel and PowerPoint.
