Office Coordinator (Finance)
1. Coordinating the activities of clerical staff in performing general office duties.
2. Processing payroll and personnel transactions, and auditing and maintaining accurate records on same; preparing or assisting in preparing Position Action Requests (PARs).
3. Monitoring personnel budget and expenditure activities on unit accounts; advising supervisor of status of accounts; distributing and processing timesheets.
4. Coordinating travel arrangements for faculty and/or staff and processing travel reimbursement forms.
5. Assisting faculty and/or staff with personnel-related issues, such as health insurance, direct deposit, holidays, training programs, and so forth.
6. Ordering office supplies and materials and maintaining an adequate stock at all times.
7. Performs other job-related duties as assigned.
This position works in the Graduate Professional Programs business office at the C. T. Bauer College of Business.
This position will have the ability to work independently as well as part of a team, work well under pressure, consistently meet deadlines, and manage multiple projects while remaining flexible and positive. This will require exceptional organizational skills and attention to detail. Further, successful candidates will effectively communicate with all levels of management and fellow employees and be able to manage multiple employer relationships.
Position includes the following responsibilities but not limited to:
1. Handle travel coordination for the department. Travel Requests: submission and follow-up.
2. Restocking supplies for the office.
3. Supply inventory checklist.
4. Ordering supplies for the office and students.
5. Front desk duties: greeting guests, setting appointments, answering the phone and more.
6. Handle associate deans' personal meetings and travel.
7. Admin and clerical work as delegated by supervisor.
8. Set up meetings and calendar invite for the department.
9. Attend and assist student events as needed.
10. Handle work orders and other IT ticket submission for the department.
Preferences:
• Candidates who are detailed oriented
• Experience with PeopleSoft Finance
• Experience with excel and willing to learn
• Experience in higher education
• Experience planning or attending events in a university setting
• Experience with Concur Travel
• Experience working in a team environment

MQ: Requires a basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or GED. Requires a minimum of three (3) years of directly job-related experience.
Department is willing to accept education in lieu of experience.
