ORGANIZATIONAL SUMMARY:
The Office of Undergraduate Studies functions as the main hub for thousands of undergraduate students pursuing an undergraduate degrees. All aspects of tracking and monitoring student progress as well as coordination of all advising efforts are housed in this unit. There are 16 full-time employees who serve as administrators, advisors, degree certifiers, course evaluators, and assistants; and five student workers.
POSITION SUMMARY:
The Staff Assistant of the Office of Undergraduate Studies performs a wide range of support duties including coverage for front desk, ordering of office supplies, handling professional delivery services, managing calendar appointments, handling office assignments/departmental key orders, general IT support, training & supervising FWS Students in the department, and assisting Academic Regulations Committee (ARC) with student petitions.
RESPONSIBILITIES:
Advising Office administration:
Oversee main lobby reception by answering high volume of phone calls and emails.
Greet and direct faculty, staff, students and external guests.
Assist students in completing various academic forms; provide information on University/College rules, policies and procedures, schedule appointments.
Coordinate front desk coverage for both the SCA and BEH Advising Offices.
Supervise Federal Work Study Students (FWS).
Track time sheets for hourly employees and train FWS to serve as receptionists and clerical staff.
Support the Academic Regulations Committee (ARC):
Electronically assigning petitions to committee members.
Support students who are submitting petitions and help them gather necessary documents to support petitions.
Make decisions regarding urgent late add registration petitions.
Facilities and IT infrastructure:
Compile property forms and inventory list for assigned computer equipment of all CAS Advisors.
Collect computing equipment when advisors leave position.
Complete annual building/space report for BEH office. Plan and arrange space for advising events.
Act as the primary liaison facilitating communication between the academic department and Business & Finance Support Services (BFSS). Track and order office supplies and equipment for all CAS advisors.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.
PREFERRED:
Experience in Higher Education.
Experience with office equipment
Experience with Microsoft Office and Teams; Archivum, Banner & DegreeWorks
